Freelance Invoice Template: What to Include, Hourly vs Flat Fee, and Getting Paid on Time
What a freelance invoice template should contain, how to bill hourly work, flat fees, retainers, deposits and expenses, which payment terms work, and how to track every invoice until it is paid, with spreadsheet formulas.
A freelance invoice template is a reusable invoice layout built for independent work: your details and the client’s, a unique invoice number and dates, line items for hours, flat fees, retainers or milestones, reimbursable expenses, the amount due and clear payment terms. The difference from a general business invoice is in the lines and the terms: freelancers bill time and project stages, often take deposits, and depend on a few clients paying promptly. This guide covers what to include, how to structure each billing model, and how to track invoices in a spreadsheet until the money arrives.
What every freelance invoice should include
| Section | Details |
|---|---|
| Header | The word “Invoice”, your business or legal name, address, email and phone; your logo if you have one |
| Client | Client company name, contact person, billing address, and their purchase order number if they use one |
| Numbers and dates | A unique invoice number, the issue date, the due date and the period or project the invoice covers |
| Line items | Description, quantity (hours, days, deliverables), rate and line total |
| Totals | Subtotal, sales tax if it applies to your service in your state, deposits already paid, amount due |
| Payment | Accepted payment methods and details, payment terms, late fee policy if your contract includes one |
Whether you must charge sales tax depends on your state and the type of service. Check your state’s revenue department rather than assuming. Business clients in the US often ask for a Form W-9 before the first payment; keep a completed copy ready so it does not delay your first invoice.
Line items for each billing model
Hourly
Describe the work and the period, then hours × rate, for example “Copy edits for spring catalog, 3–14 March: 12.5 h × $70”. Keep the detailed log in your timesheet and attach a summary if the client asks; it answers most questions before they are asked.
Flat fee or milestone
Name the deliverable or stage exactly as in your quote or contract: “Logo package, final files delivered 20 March (milestone 2 of 3)”. Clients approve invoices faster when the wording matches what they signed. The quote template helps keep the two documents aligned.
Retainer
Bill the agreed monthly amount at the start of the month, list what it includes (“up to 20 hours of support”), and add a separate line for any extra hours from the previous month.
Deposits
Invoice the deposit separately before work starts. On the final invoice, show the full project price, then a negative line “Less deposit, invoice 2026-014”, so the amount due is only the balance.
Expenses
List reimbursable expenses on their own lines (stock photos, software licenses, travel) and keep receipts. Only bill expenses your agreement says the client will cover. Track them in your business expense tracker so nothing billable is forgotten.
Payment terms that help you get paid
- Short, specific due dates: “Due 14 April” is clearer than “Net 30”. Many freelancers use 7 to 15 days for small clients and accept 30 days for larger companies.
- Easy payment: offer the methods your clients actually use and put the details on the invoice.
- Late fees only if agreed: state the fee in your contract and on the invoice, and check that it complies with your state’s rules.
- Deposits for new clients: a deposit of a quarter to half of the project reduces your risk on first projects.
Build it in Excel or Google Sheets
Use three tabs: Settings (your details, default rate, payment terms), Clients (one row per client) and Invoice. Useful formulas:
- Client address from a client code:
=XLOOKUP(B6,Clients[Code],Clients[Address]) - Line total:
=ROUND(Qty*Rate,2); subtotal:=SUM(LineTotals) - Due date:
=IssueDate+TermsDays - Invoice number:
=TEXT(IssueDate,"yyyy")&"-"&TEXT(NextNumber,"000")
Lock the formula cells, save each invoice as a PDF, and never edit an invoice after sending it; issue a credit note or a corrected invoice with a new number instead. If you bill product sales or several tax rates, the general invoice template in Excel covers those calculations.
Track every invoice until it is paid
Add a fourth tab, the invoice log, with one row per invoice: number, client, issue date, due date, amount, date paid. Then:
- Days overdue:
=IF([@Paid]="",MAX(0,TODAY()-[@Due]),"") - Outstanding total:
=SUMIFS([Amount],[Paid],"") - Income received this year:
=SUMIFS([Amount],[Paid],">="&DATE(YEAR(TODAY()),1,1))
Send a friendly reminder a few days before the due date, another on the day after, and a firmer one at 14 days. The accounts receivable template shows how to group overdue invoices by age.
Example
| Line | Qty | Rate | Total |
|---|---|---|---|
| Website copywriting, home and 4 service pages (milestone 2 of 2) | 1 | $1,800 | $1,800.00 |
| Additional revisions requested 18–21 March | 3.5 h | $65 | $227.50 |
| Stock image license (receipt attached) | 1 | $49 | $49.00 |
| Less deposit, invoice 2026-021 | 1 | −$900 | −$900.00 |
| Amount due by 5 April | $1,176.50 | ||

Frequently asked questions
Do freelancers need an invoice number?
Yes. A unique, sequential number makes it easy for you and the client to reference payments, and helps your records and tax preparation.
Should I charge sales tax as a freelancer?
It depends on your state and the type of service. Many services are exempt, but some states tax certain services and digital products. Check with your state revenue department or an accountant.
What payment terms should a freelancer use?
Short terms, such as 7 to 15 days, with a specific due date. For new or large projects, ask for a deposit before starting.
Can I use the template in Google Sheets?
Yes. XLOOKUP, SUMIFS and TEXT work the same way; export each invoice as a PDF before sending it.
