Description
A small business income and expense tracker is a spreadsheet where you record each sale and each cost as it happens, so the totals, the profit and the trends calculate themselves. This CEOVANTA template is being built in Microsoft Excel for owners who want one clear number at the end of every month — did the business make money? — without learning accounting software.
Status: coming soon. The file is still in production. It is not on sale, it has no price yet, and nothing can be downloaded from this page. Everything below describes the planned version 1.0 and may change before release.
What the tracker is designed to do
Most small businesses do not need double-entry bookkeeping to make day-to-day decisions. They need to know what came in, what went out, and where the money went. The tracker is designed around that single flow: log every transaction once, let the workbook summarize it into a monthly profit and loss view, and read the result on one dashboard.
Planned contents of version 1.0
- Transactions sheet with category drop-downs, sized for up to 500 rows per year.
- Monthly P&L for 12 months: revenue, cost of goods sold, operating expenses, gross profit, net profit, gross margin and net margin.
- Dashboard with the key figures and a revenue vs. net profit chart.
- Settings sheet to rename categories: 5 revenue lines, 4 cost-of-goods lines and 13 operating-expense lines.
- Guide sheet with step-by-step instructions, plus clearly labeled fictional demo rows that you overwrite with your own data.
Formulas are planned to be protected so that typing in the wrong cell does not break the totals. The final feature list will be confirmed on this page once the file has passed testing.
How it will work, step by step
- Open the Settings sheet and rename the revenue, cost-of-goods and operating-expense categories so they match your business.
- Delete the fictional demo rows on the Transactions sheet.
- Record each sale and each expense on its own row: date, short description, amount and a category from the drop-down list.
- Open the monthly P&L to see revenue, gross profit and net profit for each month.
- At the end of the month, check the Dashboard and compare revenue with net profit before you make spending decisions.
Who it is for — and who it is not for
A good fit: freelancers, solo founders, small online shops, service businesses and side hustles that currently keep receipts in a folder or numbers in their head, and want a monthly profit figure they can trust.
Not a good fit: businesses that need inventory valuation, payroll, multi-currency accounts, sales-tax returns or audited financial statements. For those, accounting software or an accountant is the right tool. This template does not file taxes and does not give tax or legal advice.
Spreadsheet tracker or accounting software?
| Question | Income and expense tracker (Excel) | Accounting software |
|---|---|---|
| Learning curve | Low: one sheet to fill in | Higher: chart of accounts, reconciliations |
| Ongoing cost | No subscription needed to use a spreadsheet you own | Usually a monthly subscription |
| Bank feeds and invoicing | Not included | Usually included |
| Best for | Seeing monthly profit quickly | Full bookkeeping, payroll, tax reporting |
Many owners start with a spreadsheet and move to software as transactions grow. The tracker is meant to make that first stage clear and organized.
Frequently asked questions
Is this the same as accounting software?
No. It is a tracking template for income, expenses and monthly profit. It has no bank feeds, invoicing or payroll, and it does not file taxes or give tax or legal advice.
Can I rename the categories?
Yes. Version 1.0 is planned with a Settings sheet where you rename 5 revenue lines, 4 cost-of-goods lines and 13 operating-expense lines; the P&L and the dashboard then use your names.
Will it work in Google Sheets?
The template is being built for Microsoft Excel. Google Sheets compatibility will be tested before release, and the result will be stated on this page.
When will it be available, and what will it cost?
It is not on sale yet and no price has been set. This page will be updated with the confirmed contents, version and price once the file has passed testing.
Is the sample data real?
No. Any example rows in the finished file will be fictional demo data. You overwrite or delete them and enter your own figures.
What happens next
