Notion Template for Freelancers: Clients, Projects, Hours and Invoices in One Workspace

Build your own Notion template for freelancers: related databases for clients, leads, projects, time entries and invoices, formulas for billable hours and overdue payments, useful views and the limits of invoicing from Notion.

A Notion template for freelancers brings your business into five related databases: clients, leads, projects, time entries and invoices. Every work session links to a project, every project to a client, and Notion works out billable hours, what is left to invoice and which payments are overdue. This guide shows how to build it yourself, property by property, and where Notion stops being the right tool for invoicing.

Database Main properties Relations
Clients Name, contact, email, billing address, payment terms, agreed hourly rate Projects, Invoices
Leads Name, source, stage, estimated value, next follow-up Becomes a client when signed
Projects Title, status, pricing (hourly or fixed), budget, dates Client, Time entries, Invoices
Time entries Start, end, description, billable (checkbox) Project
Invoices Number, date, due date, amount, status (draft, sent, paid) Client, Project

Create each database as a full page and add relation properties with the option to show them on the related database too, so links work in both directions.

Tracking time

Notion has no built-in timer, so you record the start and end of each session. A formula property turns that into hours:

dateBetween(prop("End"), prop("Start"), "minutes") / 60

On Projects, a rollup sums the hours of entries marked billable. A “New session” button can create an entry with the project and start time already filled in. If clients ask for a breakdown, export the month’s time view to CSV.

What is left to invoice

On Projects, a formula calculates the amount still to bill, depending on the pricing model:

if(prop("Pricing") == "Hourly", prop("Billable hours") * prop("Rate"), prop("Budget")) - prop("Invoiced")

The rate can come from the client through a rollup, and Invoiced is the sum of linked invoices. A view filtered to “left to invoice > 0” gives you the list to bill at month end.

Overdue payments

On Invoices, a formula flags late payments:

if(prop("Status") != "Paid" and prop("Due date") < now(), "Overdue", "")

Add days late with dateBetween(now(), prop("Due date"), "days") and a “To chase” view sorted by days late. On Clients, a rollup totals overdue amounts so you can see who habitually pays late.

Views you will use every week

  • Pipeline: a board of leads by stage with the next follow-up date.
  • This week: active projects and this week’s time entries.
  • Hours by client this month: a list grouped by client, filtered to the current month, with summed hours.
  • To invoice and To chase: the two money views to open every Friday.
  • Dashboard: a home page that pulls these linked views together.

Example: a month-end review

View Result
Billable hours this month 104 hours across 3 clients
To invoice 2 hourly projects ($6,200) and 1 fixed-price project delivered ($2,400)
To chase 1 invoice of $1,800, 18 days overdue
Pipeline 5 leads, 2 follow-ups due this week

Ten minutes on Friday tells you what to bill, whom to chase and where the next project is coming from.

Where Notion stops: issuing invoices

Notion is excellent for tracking, but it is not an invoicing system. Invoices need sequential numbers, the details your tax rules require and a record that cannot be edited after sending. Create them in accounting software or with the freelance invoice template, then record the invoice number in Notion to keep the link. If you prefer a spreadsheet for leads, the CRM spreadsheet template works the same way; for your own money, see the Notion budget template.

Client data

Your workspace holds personal data about clients and contacts. Keep only what you need, limit sharing and delete stale leads after a reasonable period. More guides are in Notion for Business & Freelancing.

Frequently asked questions

Can I send invoices directly from Notion?

You can lay out an invoice as a page and export it to PDF, but numbering, required details and payment links are better handled by invoicing software. Use Notion for tracking.

How do I track time without a timer?

Record start and end times and let the formula calculate duration, or use a separate time tracker and import its CSV export.

Do I need a paid Notion plan?

The databases, relations, rollups and formulas described here are available in Notion; some advanced features depend on the plan. Check Notion’s current pricing page.

How long does it take to set up?

An hour or two for the five databases and main views, then small adjustments after the first month.
