Meal Planner Template: Plan a Week of Dinners and Auto-Build the Grocery List
Create a meal planner template in Excel or Google Sheets that builds the grocery list for you: recipe library, weekly menu dropdowns, quantity totals, pantry check and estimated cost, plus a printable version and a worked example.
A meal planner template in Excel or Google Sheets has three connected parts: a recipe library listing each dish’s ingredients and quantities, a weekly menu where you pick dinners from a dropdown, and a grocery list that adds up the week’s ingredients automatically, subtracts what’s already in your pantry and estimates the cost. Planning this way means fewer midweek store runs, less food thrown out and a grocery bill you can predict. Once the recipes are in, planning a week takes about ten minutes.
This guide is part of our Meal & Grocery Planning section. If you want to see how groceries fit into your overall spending, pair it with the 50/30/20 budget template.
The sheets in the template
| Sheet | What it holds |
|---|---|
| Recipes | One row per ingredient per recipe: dish, ingredient, quantity, unit (for your usual number of servings) |
| Ingredients | Unique ingredient list with unit, typical price and store section |
| Menu | Days across, meals down (or dinners only), each cell a dropdown of dishes |
| Pantry | What you already have and how much |
| Grocery list | Needed, minus pantry, to buy, estimated cost, grouped by section |
Building it step by step
1. Recipe library
Columns A (dish), B (ingredient), C (quantity), D (unit). Use the same unit for each ingredient everywhere — pounds for meat, “each” for eggs and onions, jars for sauces — so the totals make sense.
2. Weekly menu with dropdowns
Make a list of unique dishes (in Excel 365: =UNIQUE(Recipes!A2:A300) on a helper sheet), then select the menu cells → Data → Data Validation → List pointing at that range. Add “Leftovers” and “Eat out” as options so the plan reflects real life.
3. Count how often each dish appears
Next to the dish list: =COUNTIF(Menu!$B$3:$H$5,A2).
4. Total each ingredient
- In Recipes, column E “times on menu”:
=XLOOKUP(A2,Helper!A:A,Helper!B:B,0) - Column F “total needed”:
=C2*E2 - On the Grocery list sheet, per ingredient:
=SUMIFS(Recipes!F:F,Recipes!B:B,A2)
5. Subtract the pantry and price it
- To buy:
=MAX(0,B2-IFERROR(XLOOKUP(A2,Pantry!A:A,Pantry!B:B),0)) - Estimated cost:
=C2*XLOOKUP(A2,Ingredients!A:A,Ingredients!C:C,0) - Clean list (Excel 365 or Google Sheets):
=SORT(FILTER(A2:E60,C2:C60>0),5,1)sorted by store section in column E.
Worked example: a week of dinners for four
Menu: chicken tacos (Monday and Saturday), spaghetti with meat sauce (Tuesday), leftovers (Wednesday), sheet-pan salmon and vegetables (Thursday), veggie stir-fry with rice (Friday), breakfast for dinner (Sunday). In the pantry: 1 lb rice, 4 eggs and 1 onion.
| Ingredient | Needed | In pantry | To buy | Est. cost |
|---|---|---|---|---|
| Salmon | 1.5 lb | — | 1.5 lb | $14.98 |
| Chicken thighs | 3 lb | — | 3 lb | $9.87 |
| Shredded cheese (8 oz) | 3 bags | — | 3 bags | $9.87 |
| Salsa | 2 jars | — | 2 jars | $7.98 |
| Tortillas | 2 packs | — | 2 packs | $6.98 |
| Ground beef | 1 lb | — | 1 lb | $5.99 |
| Frozen stir-fry vegetables | 2 lb | — | 2 lb | $5.98 |
| Pasta sauce | 1 jar | — | 1 jar | $3.29 |
| Potatoes | 3 lb | — | 3 lb | $2.97 |
| Eggs | 12 | 4 | 8 | $2.64 |
| Broccoli | 1 lb | — | 1 lb | $2.29 |
| Onions | 3 | 1 | 2 | $1.78 |
| Spaghetti | 1 lb | — | 1 lb | $1.49 |
| Rice | 1 lb | 1 lb | 0 | $0.00 |
| Estimated total | $76.12 | |||
The sheet catches what’s easy to miss by hand: potatoes appear in two dishes, cheese in two, eggs in two. Prices are illustrative — update them from your receipts. Oil, salt and spices aren’t listed because they’re bought less often; add them to the pantry check when they run low.
Tips that make meal planning stick
- Start with 10–15 meals your household already likes.
- Plan leftovers on purpose: cook once, eat twice, or freeze a second portion.
- Theme nights (Taco Monday, Pasta Tuesday) make choosing faster.
- Check the fridge first and plan meals around what expires soonest.
- Keep one flexible night for surprises or eating out.
- Save each week on its own tab; after a month you have a rotation you can reuse.
If anyone in your household has allergies or medical dietary needs, adapt recipes with guidance from a qualified professional — the template only organizes the meals you choose.
Track the grocery budget
Add a Receipts sheet with date, store and total. Compare actual spending with the estimate each week, and total by month with SUMIFS. The monthly figure drops straight into your monthly budget template.
Printable version
- Put the Menu and the filtered Grocery list side by side on one sheet.
- Page Layout → Landscape → Fit Sheet on One Page.
- Print and stick it on the fridge; take a photo of the list for the store.
Or keep it in Google Sheets and check items off on your phone with checkboxes. To plan the rest of the week alongside meals, add a dinner row to the weekly planner template.
Common mistakes
- Mixed units (ounces in one recipe, pounds in another) break the totals.
- Different names for the same item (“cheddar” vs “shredded cheese”): standardize in the Ingredients sheet.
- Skipping the pantry check and buying duplicates.
- Over-ambitious weeknights: save long recipes for weekends.
FAQ
Can I scale recipes to a different number of people?
Yes. Add a “servings” cell on the Menu sheet and multiply recipe quantities by servings ÷ the recipe’s base servings.
Do I need Excel 365?
UNIQUE, FILTER and SORT need Excel 365 or Google Sheets. In older Excel, type the dish list manually and use AutoFilter on the Grocery list instead; everything else works.
Can I plan breakfast and lunch too?
Yes — add rows for each meal on the Menu sheet and include them in the COUNTIF range.
How much can meal planning save?
It varies by household. The main savings usually come from fewer impulse trips and less wasted food; compare a month of receipts before and after to see your own number.
Next step: add ten favorite dinners to the recipe sheet, plan next week with the dropdowns and check the generated grocery list before you shop. More home planners are in Home, Family & Study Planners.
